ENTERPRISE Reporting Database (ERD) displays timetable data in a practical easy-to-read format. If preferred, the user can use other reporting tools such as SQL Server and Oracle to prepare personal reports. By doing so, the user leverages on in-house experience to his or her advantage.
The ERD is updated on a timed basis by the Reporting Database Generator. You don’t need to think about updating the reporting view when changes are made to the timetable; that happens automatically so that reports are always against the latest data.
When a user wishes to do a series of reports against data current at a particular time, the snapshot is reserved so that all the reports generated will be based on a consistent set of data.
Housekeeping functions maintain an up-to-date view and remove redundant snapshots automatically so that manual maintenance of the ERD is kept low.

About Innovez One
Innovez One is a product-based systems consultancy registered in Singapore. The company provides business solution packages comprising software products for niche markets in Education, Marine, Jewelry and Healthcare. Innovez One aims to streamline, automate and boost business performance for clients in those key sectors. Its clientele includes government-linked corporations and small and medium-sized enterprises in Singapore, Malaysia and in the United States of America.
SCIENTIA Enterprise allows several overlaid timetables, stacked one on top of the other, to establish common free space for any given resource or group of resources. This system edge proves its advantage when a user arranges for instance, a meeting among four staff members.
Examining each member’s timetable separately for common space is difficult. The overall picture is clearer when the members’ timetables are overlaid.
For this purpose, Enterprise Timetabler supports timetable combinations for any number of resources. An additional option allows removal or change of activity for the selected period. The activity to which the resource is allocated is not critical; what is important is the time, the specific resource is available.

UNIVERSITY academic staff, busy people as they are, carry out other duties beside their primary role of teaching. In this respect, Enterprise Staff Workload Planner (ESWP) provides total visibility of each staff’s duties and responsibilities. It helps an authorised user to assign tasks fairly.
The application’s key features worth noting are:
The user defines staff scope of tasks and other responsibilities.
The software classifies information by period and type for efficient feedback.
An authorisation feature controls permission over data editing
An authorised user can adjust the scope of tasks and allowances necessary to define a staff’s specific duties. Adjustments may be additional to the set timetable. For instance, a lecturer needs time to set examination questions. On the contrary, adjustments may be related to changes in a planned activity, such as a larger attendance at a lecture or one which is re-scheduled outside working hours.
Allowances may translate into a set duration for the specific workload based on the number of students. Take for example, an allowance fixed for marking exam scripts: x minutes per student. A duration can also be derived from an allowance determined by the timing of an activity for instance, weekend lectures accrue an additional 50% of the actual time taken to teach.
In addition, the user can view specific periods such as semester 1 or 2, or statistical analysis of a particular week either in a summary or identified block.
During staff assignments to scheduled activities, the user applies constraints in order for ESWP to highlight any scheduling problem caused by an assignment or allocation.

ENTERPRISE Course Planner (ECP) offers the user an application to design and produce dynamic Programmes of Study jointly with relevant Modules.
Key features of the application worth highlighting include:
ECP is Web-located, so that people familiar with Programme structures can access it easily.
ECP allows the user to plan accurately the number of activities needed to meet an estimated demand.
ECP monitors actual demand based on real-time data; simultaneously, it reflects discrepancies.
A typical study programme comprises mixed compulsory and optional topics complete with regulations advising students on what forms a proper choice. Lately, student choices have risen with a resultant increase in valid permutations which must be rendered clash-proof.
Often, more programme flexibility for students does not come with an adequate supply of resources to fulfil the varied programmes. So the scheduler often finds a clash-free timetable challenging to ensure teaching delivery. That is, teaching delivery without hindrances such as needless repetition of activities and inefficient deployment of resources.
ECP is capable to meet such a challenge. It helps the scheduler with forward planning using whatever information (estimated or confirmed) is available from a record database. As the situation unfolds, the system responds swiftly in real-time to changing demands as more information updates are received.

ENTERPRISE Student Allocator (ESA), a key application of the Timetabler system, manages each student’s academic programme. ESA does this by careful selection and packaging of specific tutorials, modules and other aspects for the student. Essentially, the software helps to:
Show updated real-time information reports.
Avert scheduling foul-ups and travel complications.
Eases better attendance supervision and retention.
Keep quality academic and teaching standards.
Boost the satisfaction of faculty’s staff and students.
Promote self-service to lower administrative costs.
Issue school’s endorsement of students’ selection of courses.
Maintain value-added information in student records.
ESA comprises the following components:
Student component: It enables the student, via a browser, to choose modules, tutorials or other aspects. Students can switch study aspects or activities, all of which are validated in terms of student choice and course capacity.
Student Advisor component: This allows authorised staff (e.g. lecturers and tutors) to effect or endorse choices, via a browser interface, for any particular student. Furthermore, it has the power to waive course regulations to fit special student situations.
Subject Area Manager (SAM) component: It plots academic course profiles. As it is flexible, it can highlight the school’s aware and delivery regulations. SAM’s graphical interface displays on-screen the profiles being plotted.
Staff component: This permits school staff to shift and allocate groups of participants among lectures, tutorials or other activities. It has a filtering function that caters for abnormal student allocation. For instance, it can group students on similar courses together for optimum time-saving and resource deployment. An audit trail is kept for tracing.

ENTERPRISE Report Manager (ERM) , a software application that controls information access, features the following key advantages:
Activates via role grouping in Enterprise Authorisation Manager
Clearances issued by report and verified against data received
Daily, the timetable information of any school of higher learning receives thousands of access enquiries. The ERM organizes such “hits” into roles such as Student, Academic Staff, Department Head, and so on.
Individual roles are programmed to read only reports specified and allowed by the ERM. For instance, students cannot access staff timetables but staff themselves can. Likewise, academic staff cannot read staff cost reports but department heads can.
The authorised user can also set permission at data level. This is done so that a department head for instance, can only see reports of his own department’s staff.

ASSIGNMENT of permission to users and roles to access Enterprise applications falls under the purview of the Enterprise Authorisation Manager (EAM).
EAM, the brain of the Enterprise suite, comprises these main features:
Authorising many Enterprise software users through a “role” system instead of individual authorisations has its advantages. For instance a user, operating in the role of “Department Room Booker”, wishes to book a room. The user can opt to book a room from his or her own department or one from other departments. Such an option, however, is not open to users who are individually authorised.
As the AEM role is based on the premise of “My Department”, so all venue bookers can assume the same role. The only safeguard necessary is for the department represented by them to verify their permissions.
If necessary, EAM enables scheduling of peculiar-purpose situations. It does this by defining sub-divided permissions. Instances of such permissions are:
In EAM, user passwords are integral with the school’s current authentication system. Therefore, users just have to remember a pair of User Name and Password to lock on. Once verified, EAM establishes what Enterprise applications the user is permitted to use and their permissions. The authentication system contains information on users and their role or roles.

ENTERPRISE suite’s Grid Report Designer (GRD) displays institution timetables in special grid style layouts. A typical timetable’s presentation can be, for instance, times by days or vice versa.
Notable features integrated in this software comprises:
A typical report includes headers and footers for each report, object and page. Each header carries graphics such as the school’s logo, motto, etc; and text entries and ERD data.
The layout incorporates flexibility so that details of each timetable activity can be defined by the user. For instance, a definition can be:
The designer can choose to format the text of each data item. Ample leeway is given to make colour, size and style changes; or to opt for:

SCIENTIA Enterprise has a self-served application for ad-hoc room bookings at institutions. This application enables users to:
Authorisation will determine if a user is cleared to book a particular venue right away or if he or she can only submit a request, to be endorsed by another authorised user. A user may be allowed to book directly certain venues while permitted only to request for others.
Therefore, any ad-hoc booking can be made by a user on his own. Users make firmed or requested Web bookings on a configurable form containing all required information. Drastically, this reduces the overall process time. The system responds with automated email acknowledgement on receiving a request, confirming or cancelling a booking.
The system can be customized to emailing multiple addressees (main and carbon copies) for a single notification.
Web venue booking offers a fair system by directing all requests and bookings to a single source where they are processed in the queue in which they are received. Users swiftly adapt to the user-friendly interface and enjoy a fast and responsive service.
Users can check their current bookings and requests or cancel any that are no longer needed. Thus, available space is freed and returned to the venue stock instead of staying booked but unused.

STAFF and students in an institution often need to consult their personal timetable. Scientia designed the Web Grid Report Requester (WGRR) precisely to meet this need.
Instead of authorising thousands of users individually, WGRR authorises them through designated roles. Timetables requested, in the form of Reports, can be displayed on screen or printed.
The system eliminates the requirement to permit access to such Reports through the Authorisation Manager. Instead, permission is granted by the simple adoption of roles.
Another application, the Enterprise Grid Report Designer, publishes the timetables in specific grid-style formats and layouts. The user cannot alter the report’s layout. He or she can, however, set particular parameters for the Report requested such as:
Finally, the user receives the requested Report in a PDF from WGRR. Users may opt to:

PRIMARILY, the Enterprise Web Data Collector (WDC) application replaces manual collection of data.
The software’s salient features are:
Electronic data collection frees staff for more efficient use of their time. Less labour-intensive staff work, such as less manual data validation results in a shorter lead time between data delivery and creation of a timetable.
High data quality cuts down the ‘cleaning’ process between the timetable’s circulation and when teaching starts. In effect, this eradicates eleventh-hour revisions and clashes.
WDC permits course specialists to request and make direct changes to their timetable requirements.

A cost-effective information tool, the Enterprise Report Libraries (ERL) system, organises several relevant reports in a structured format accessible on a browser.
Access to the structured information, however, is managed by data captured in Enterprise Authorisation Manager (EAM). Therefore, the reports that a person can run or read are restricted by EAM. Another application, the Enterprise Report Manager (ERM), applies the regulations governing authorisation; and then sends the data to the person’s browser.
A Report Library holds thousands of Reports. An institution usually requests only the report subset which carries information needed in a specific format.
Report Libraries are categorised as:
User feedback and requirements dictate the creation of new Libraries and extension of existing Reports in each Library.
ERL presents the requested information in one of several format options: browser text, pdf, Excel datafile and RTF.

WHEN a user looks for an answer to a timetabling woe, the solution may be found in simply changing an activity’s time. Many other problems, however, are more challenging than that. For instance, a replacement is needed for a particular lecturer. In order to find one, a change of lecture time may be required. This in turn necessitates a change of lecture venue.
Enterprise Timetabler software’s versatility creates solutions for every conceivable timetable trouble.
The planner can either change or keep Activity Variables such as Day, Location, Time, Staff and Equipment. These are fully adjustable to fit any timetable scenario. The software’s search engine will find permutations that mirrors the requirements.
The planner decides which variable to fix first. The search engine constantly updates itself, so that when the planner selects a day, only periods free on that day will be reflected. When a time is chosen, a current list of available rooms is displayed. Only those rooms free on that day and at the appointed time are shown.
An important function to note is: Any adjustment made to the timetable leaves a footprint. The system records every action. This allows the user to undo actions, one step at a time, to retrace the sequence. In a trail, the software registers each step undone. Through a redo function, the user can insert new changes to the timetable.

WHILE looking for a particular resource in the timetable, it may be necessary to check out others in the same category. For instance, some similar lecture halls may each be free, on a given day, at some time but no hall is available for the whole day. So to book a hall for the entire day, some switching of activities among certain rooms may be called for.
An overview of the timetable makes visible which activities to move or to swap between halls. Simultaneously, time adjustments can be effected. The user amends the timetable simply by a few clicks of the mouse.
An identical interface style is usable to swap activities for other resource types.

A planner, using the Scientia Enterprise software, may need resources that do not “belong” to any specific entity: Distributed, Centralized or Hybrid. Scientia Enterprise with its integrated Authorization Manager, however, permits users to have “request” access to selected resources.
In the “request” mode, the user has visibility of the selected resources he needs. Also visible is the resources’ location, ownership and whether they are available. Any attempt to allocate them, however, will generate a request that must be granted by a user with “full” permission.
The Enterprise Timetabler will also flag-out any outstanding requests pending. It allows the user to see details of those requests with a mouse click.
A user with full access to resources which can be be requested by other users will see such requests reflected as these are submitted. With completion information at his disposal, the user can then decide whether to grant the request or not.

SCIENTIA Enterprise’s Timetabler software carries a trail-blazing feature: an automated scheduler that manages a centralized or distributed means of timetabling.
In the centralized mode, the school owns all resources; so departments will request for specific resources needed to fulfil teaching requirements. In the distributed mode, each department assumes responsibility over resources it owns. Therefore it controls how these are distributed to achieve teaching requirements.
Generally, many institutions adopt a hybrid system of both modes. In such a system, departments own specialized areas, labaratories and small lecture rooms whereas central ownership covers large lecture rooms and lecture halls.
The Timetabler software’s Authorization feature which governs access to resources, also manages whatever scenario is created by the school and department. This includes scenarios arising from hybrid ownership of certain resources. Each user – at any level: centralized, distributed or hybrid – works with a complete set of data, even if he, at his level, can authorize only a sub-set change.
Thus, all schedule and allocation decisions are taken in full visibility of school-wide usage of all resources. The software’s flexibility permits a user to explore locally, all possible solutions before updating the central database. When a change or changes are effected, the system updates local users so that they can work with an up-to-date overview of the entire school timetable.

INNOVEZ One follows up on comments and suggestions that it often receives by email, customer feedback and through this blog. The company’s objective is to serve its customers better by implementing dynamic ideas, converting them into regular system upgrades for integration into software such as the Enterprise Jewelry System. Current users will get their upgrades gratis, and new users will benefit from constant updates (new versions) to their EJS software.
Comment 1: Innovez One has installed an EJS Retail program for a new jewelry retailer in the eastern part of Singapore. Acting on a useful feedback from the client, Innovez One installed an add-on feature to the retailer’s existing software. This new feature allows the retailer to handle consignments. When a retailer receives a new consignment from the wholesaler, he may sell from this consignment or return certain pieces which are unsold. Flexibility over a consignment’s disposal gives this retailer a business advantage.
Comment 2: An EJS user emailed Innovez One with the following question: How do I design different label styles in your program? Currently, the jewelry software does not have a feature that allows users to design labels. Innovez One, however, reckons this feature worthy for enhancing EJS; and will work on this enhancement. We hope that this has been helpful. Innovez One encourages retailers, wholesalers and dealers in the jewelry trade to stay abreast of EJS innovations.
