THE Desktop Reference Data Manager (DRDM) creates and maintains current data on resources and constraints.  Data relating to resources cover Staff, Equipment and Locations.  Those concerned with constraints include: Suitabilities, Tags, Zones, Departments, Constraint Profiles and others.

The following prime characteristics set apart the DRDM software from other similar systems:

  • An Authorisation function filters who are permitted to update relevant information.
  • User-friendly interface.
  • Web- located, so users can log on with the necessary information.

Before production of a timetable, the planner or scheduler has to establish what:

  • Resources are available and where they are located.
  • Constraints or Preferences, if any, that could impose limitations on how, when or where affected resources are used.

Examples of Staff Constraints or Preferences are listed:

  • Some staff may prefer certain venues or periods for their teaching.
  • Agreed working norms may call for stipulated breaks and meet set loading specifications.
  • May only teach in their own department or engage in service teaching in other departments.

Examples of Locations Constraints or Preferences are listed:

  • The closure of a building, causing all venues within the building inaccessible.
  • Time taken for staff and students to commute between venues for teaching and other activities must be minimised.
  • Certain features or resources are required for a specific academic activity; these for instance, can be: wheelchair accessibility, a digital RGB projector and a gas supply.

Examples of Equipment Constraints or Preferences are listed:

  • Either portable or a permanent fixture at the required venue.
  • Duration should be factored in for the transfer of a specific piece of equipment between two lecture locations.
  • A certain item of equipment may be centrally owned or – under the “distributed” system – owned by a department.
