ENTERPRISE Reporting Database (ERD) displays timetable data in a practical easy-to-read format.   If preferred, the user can use other reporting tools such as  SQL Server and Oracle to prepare personal reports.   By doing so, the user leverages on in-house experience to his or her advantage.

  • Data is kept current independently.
  • Snapshots can be stored for reference later.
  • Automatic housekeeping, a key feature, is integral with the software.

The ERD is updated on a timed basis by the Reporting Database Generator.   You don’t need to think about updating the reporting view when changes are made to the timetable; that happens automatically so that reports are always against the latest data.

When a user wishes to do a series of reports against data current at a particular time, the snapshot is reserved so that all the reports generated will be based on a consistent set of data.

Housekeeping functions maintain an up-to-date view and remove redundant snapshots automatically so that manual maintenance of the ERD is kept low.

SCIENTIA Enterprise allows several overlaid timetables, stacked one on top of the other, to establish common free space for any given resource or group of resources. This system edge proves its advantage when a user arranges for instance, a meeting among four staff members.

Examining each member’s timetable separately for common space is difficult. The overall picture is clearer when the members’ timetables are overlaid.

For this purpose, Enterprise Timetabler supports timetable combinations for any number of resources. An additional option allows removal or change of activity for the selected period. The activity to which the resource is allocated is not critical; what is important is the time, the specific resource is available.

UNIVERSITY academic staff, busy people as they are, carry out other duties beside their primary role of teaching. In this respect, Enterprise Staff Workload Planner (ESWP) provides total visibility of each staff’s duties and responsibilities. It helps an authorised user to assign tasks fairly.

The application’s key features worth noting are:

  • The user defines staff scope of tasks and other responsibilities.

  • The software classifies information by period and type for efficient feedback.

  • An authorisation feature controls permission over data editing

An authorised user can adjust the scope of tasks and allowances necessary to define a staff’s specific duties. Adjustments may be additional to the set timetable. For instance, a lecturer needs time to set examination questions. On the contrary, adjustments may be related to changes in a planned activity, such as a larger attendance at a lecture or one which is re-scheduled outside working hours.

Allowances may translate into a set duration for the specific workload based on the number of students. Take for example, an allowance fixed for marking exam scripts: x minutes per student. A duration can also be derived from an allowance determined by the timing of an activity for instance, weekend lectures accrue an additional 50% of the actual time taken to teach.

In addition, the user can view specific periods such as semester 1 or 2, or statistical analysis of a particular week either in a summary or identified block.

During staff assignments to scheduled activities, the user applies constraints in order for ESWP to highlight any scheduling problem caused by an assignment or allocation.

ENTERPRISE Course Planner (ECP) offers the user an application to design and produce dynamic Programmes of Study jointly with relevant Modules.

Key features of the application worth highlighting include:

  • ECP is Web-located, so that people familiar with Programme structures can access it easily.

  • ECP allows the user to plan accurately the number of activities needed to meet an estimated demand.

  • ECP monitors actual demand based on real-time data; simultaneously, it reflects discrepancies.

A typical study programme comprises mixed compulsory and optional topics complete with regulations advising students on what forms a proper choice.   Lately, student choices have risen with a resultant increase in valid permutations which must be rendered clash-proof.

Often, more programme flexibility for students does not come with an adequate supply of resources to fulfil the varied programmes. So the scheduler often finds a clash-free timetable challenging to ensure teaching delivery. That is, teaching delivery without hindrances such as needless repetition of activities and inefficient deployment of resources.

ECP is capable to meet such a challenge. It helps the scheduler with forward planning using whatever information (estimated or confirmed) is available from a record database. As the situation unfolds, the system responds swiftly in real-time to changing demands as more information updates are received.

ESA comprises the following components:

  • Student Advisor component: This allows authorised staff (e.g. lecturers and tutors) to effect or endorse choices, via a browser interface, for any particular student. Furthermore, it has the power to waive course regulations to fit special student situations.

  • Subject Area Manager (SAM) component: It plots academic course profiles. As it is flexible, it can highlight the school’s aware and delivery regulations.   SAM’s graphical interface displays on-screen the profiles being plotted.

  • Staff component: This permits school staff to shift and allocate groups of participants among lectures, tutorials or other activities.   It has a filtering function that caters for abnormal student allocation.   For instance, it can group students on similar courses together for optimum time-saving and resource deployment.   An audit trail is kept for tracing.

ENTERPRISE Report Manager (ERM) , a software application that controls information access, features the following key advantages:

  • Activates via role grouping in Enterprise Authorisation Manager

  • Clearances issued by report and verified against data received

Daily, the timetable information of any school of higher learning receives thousands of access enquiries. The ERM organizes such “hits” into roles such as Student, Academic Staff, Department Head, and so on.

Individual roles are programmed to read only reports specified and allowed by the ERM. For instance, students cannot access staff timetables but staff themselves can. Likewise, academic staff cannot read staff cost reports but department heads can.

The authorised user can also set permission at data level. This is done so that a department head for instance, can only see reports of his own department’s staff.
